Parties rarely fail on decoration. They fail on supply: the moment when there are no clean cups, or the food has gone and it is only nine o’clock, or half the room has nothing to do. All three are planning problems with the same shape, which is that quantities were estimated from the wrong number.

Fix the number first, then everything else
Every quantity on the list is a multiple of the guest count, so guessing that number badly makes every other calculation wrong at once. Count invited guests, add ten per cent for plus-ones, and add twenty per cent if children are coming.
Write the number down and use it. Buying by feel rather than by arithmetic is what produces both shortages and the cupboard of leftover paper plates that everybody has.
Hold a third of everything back
Putting all the supplies out at the start guarantees they are consumed at the start. A reserve of roughly a third, kept in the kitchen and brought out when the first wave is gone, makes an evening feel steadily supplied rather than front-loaded.
This applies to cups, napkins and favours equally. It is the single highest-value habit on this page and it costs nothing.
Build a running order, even a rough one
Arrival, food, the main activity or moment, cake, departure. Knowing roughly when each happens tells you when supplies are consumed and when the room needs something to do.
The gap that most often goes wrong is between arrival and food, which is longer than hosts expect. That is the window that needs something in it.
Shop in three lists, not one
Consumables that scale with guests: plates, cups, cutlery, napkins. Things that are bought once regardless of numbers: decorations, lighting. And favours, which scale with children rather than with total guests.
Separating these prevents the common error of buying decorations to the guest count and consumables to a feeling.
Order with the delivery window in front of the date
Packing takes one to three business days and transit five to ten, so six to thirteen business days from order to door. For a party three weeks out that is comfortable; for one next weekend it is not.
Work back from the date rather than forward from today. If the window does not fit, buy locally rather than hoping.
Keep the receipts and the packaging
Unopened packs can go back within thirty days of delivery, which makes over-buying a low-risk strategy – but only for packs that are still sealed. Once a tableware set is opened it cannot be resold.
So open the reserve last, and open it only if it is needed. That way an over-order costs nothing at all.
